These Practice Terms apply to dental professionals, practice owners, practice managers, companies, and other representatives who claim, manage, update, advertise, or purchase services on Dental Choices.
By claiming, managing, advertising, or purchasing services for a practice profile, you agree to these Practice Terms and our Website Terms of Use.
Authority to Act
You may only claim, manage, edit, verify, or purchase services for a practice if you are authorised to act on behalf of that practice.
By using our practice management tools, you confirm that you have the authority to represent the practice and provide information to Dental Choices.
We may request evidence of authority, including:
- your name and role
- practice-domain email addresses
- NHS email addresses
- GDC registration details
- telephone verification
- business records
- other supporting evidence
We may refuse, suspend, or revoke access where authority cannot be established to our satisfaction.
Verification and Trust
We may verify practice claims using one-time passcodes, manual review, trust signals, public information, and third-party data sources.
Verification does not constitute endorsement, accreditation, recommendation, or approval by Dental Choices.
We may approve, reject, suspend, transfer, or remove claims at our discretion where ownership, authority, or accuracy cannot be established.
Practice Ownership Disputes
More than one individual may claim authority to represent the same practice.
Where competing claims arise, Dental Choices may consider any information it reasonably believes relevant, including:
- verification records
- historic account activity
- payment records
- practice-domain email addresses
- NHS email addresses
- public records
- information supplied by the parties involved
We may approve, reject, suspend, transfer, or remove access while ownership or authority is investigated.
Our decisions regarding access and verification are intended to protect the integrity of the Service and may be revised if new information becomes available.
Profile Information
You are responsible for ensuring that all information submitted to Dental Choices is accurate, lawful, current, and not misleading.
This may include:
- practice name
- address
- telephone numbers
- email addresses
- website links
- booking links
- opening hours
- services offered
- accessibility information
- accepting new patient declarations
You must update information promptly if it becomes inaccurate.
We may review, edit, qualify, remove, or reject information that appears inaccurate, misleading, incomplete, or unlawful.
Accepting New Patient Declarations
If you indicate that your practice is accepting new patients, you must ensure that this declaration is accurate and meaningful at the time it is made.
Declarations must not be misleading and should reflect the genuine availability of appointments, registrations, or treatment opportunities.
We may periodically request reconfirmation of accepting-new-patient status.
If we reasonably believe a declaration is inaccurate, outdated, misleading, unsupported by available evidence, or inconsistent with other information available to us, we may remove, qualify, downgrade, suspend, or stop displaying the declaration without notice.
Trust Signals and Verification Levels
Dental Choices may use automated systems, manual review, practice-submitted information, user feedback, NHS data, CQC information, website information, and other signals to generate trust indicators, confidence scores, verification levels, or similar measures.
The methodology used to generate these indicators may change at any time.
Trust indicators, confidence scores, and verification levels represent our assessment of available information and do not constitute statements of fact.
We are not obliged to disclose the methodology used to generate trust indicators or verification levels.
Content Licence
By submitting text, images, logos, opening hours, booking links, contact information, or other content to Dental Choices, you grant us a non-exclusive, worldwide, royalty-free licence to store, reproduce, modify, publish, display, distribute, and use that content for the purpose of operating, maintaining, improving, and promoting the Service.
You confirm that you have the right to provide any content submitted to Dental Choices.
Free and Paid Features
Some profile controls and services may be provided free of charge, while others may require payment.
Paid services may include:
- profile enhancements
- sponsorship
- advertising
- promotional placement
- enhanced profile features
- accepting private patient indicators
- accepting independent patient indicators
- other promotional services
Feature availability, placement, pricing, and functionality may change from time to time.
Subscriptions and Payments
Payments are processed by Stripe.
By purchasing paid services, you also agree to any applicable Stripe terms and policies.
Unless stated otherwise:
- subscriptions renew automatically
- charges are billed in advance
- you are responsible for managing cancellations
- subscription changes may affect future billing
- upgrades may result in additional charges
We may change subscription pricing for future billing periods by providing reasonable notice before changes take effect.
We may provide access to billing portals and subscription management tools operated by Stripe.
Cancellations and Refunds
You may cancel subscriptions using available billing tools or by contacting us.
Cancellation prevents future renewals but does not normally result in refunds for payments already made.
Refunds will only be provided where required by law or where we determine, at our discretion, that exceptional circumstances apply.
Rankings and Display
Dental Choices retains complete editorial control over listings, rankings, filters, categories, search results, labels, trust indicators, and display order.
Paid services do not guarantee:
- enquiries
- appointments
- patient registrations
- traffic
- revenue
- search engine rankings
- listing position
Sponsored listings, advertising, and promotional features may influence how listings are displayed.
Moderation
We may review, edit, reject, suspend, remove, reverse, or limit profile changes, advertisements, claims, paid features, or other content where we believe there is a risk of:
- inaccurate information
- patient confusion
- fraud
- misuse
- legal concerns
- reputational harm
- breaches of these terms
Historical Records
To maintain directory integrity and assist with verification, fraud prevention, dispute resolution, audit requirements, and security, we may retain:
- historic listing information
- profile edits
- verification decisions
- ownership records
- subscription records
- account activity logs
We may continue to use historic information when assessing listing accuracy, trust indicators, and profile ownership.
Your Responsibilities
You must not:
- claim a practice without authority
- impersonate another person or organisation
- submit false or misleading information
- interfere with another practice’s listing
- manipulate trust signals or rankings
- misuse feedback systems
- attempt to gain unauthorised access to accounts
- use Dental Choices unlawfully, abusively, or fraudulently
Suspension and Termination
We may suspend or terminate access to practice management tools where we reasonably believe:
- these terms have been breached
- information is inaccurate or misleading
- ownership is disputed
- fraudulent activity has occurred
- continued access presents legal, operational, security, or reputational risks
Termination of access does not automatically entitle you to a refund.
Indemnity
You agree to indemnify and hold Dental Choices harmless against claims, liabilities, losses, damages, costs, and expenses arising from:
- information you submit
- your breach of these terms
- your misuse of the Service
- infringement of third-party rights
Liability
To the fullest extent permitted by law, Dental Choices shall not be liable for any loss of profit, loss of business, loss of goodwill, loss of opportunity, loss of data, or any indirect or consequential loss arising from your use of the Service.
Nothing in these terms excludes or limits liability that cannot legally be excluded, including liability for fraud, fraudulent misrepresentation, or death or personal injury caused by negligence.
Governing Law
These terms are governed by the laws of England and Wales.
The courts of England and Wales shall have non-exclusive jurisdiction over any dispute arising in connection with these terms.
Changes to These Terms
We may update these Practice Terms from time to time.
The latest version will always be published on this page.
Continued use of practice management tools following any update constitutes acceptance of the revised terms.
